Main Job Duties and Responsibilities

• follow up on, collect and allocate payments
• carry out billing, collection and reporting activities according to specific deadlines
• perform account reconciliations
• monitor customer account details for non-payments, delayed payments and other irregularities
• research and resolve payment discrepancies
• generate age analysis
• review AR aging to ensure compliance
• maintain accounts receivable customer files and records
• follow established procedures for processing receipts, cash etc
• prepare bank deposits
• investigate and resolve customer queries
• process adjustments
• develop a recovery system and initiate collection efforts
• communicate with customers via phone, email, mail 
• assist with month-end closing

Education and Experience

• knowledge of accounts receivable
• knowledge of office administration and procedures

• proficient in relevant computer software

Department: Business Office

FLSA Status: Non-exempt/ Part Time

Job Summary:

Processes invoices/statements for payment; resolves any billing problems or inconsistencies by making necessary phone calls and maintain payable files.

Essential Job Functions / Responsibilities

• Processes invoices/statements for payment
  • Maintain a payment schedule for each vendor, whether we pay by invoice or statement.
  • Check each invoice thoroughly, comparing each document – purchase order, receiving, invoice, statement – against each of the others to confirm that there are no discrepancies in items ordered vs. delivered, etc.
  • Check for accuracy in amount charged.
  • Enter vouchers in the Accounts Payable system.
• Obtain authorization and cost center numbers for various bills.
• Maintain payment logs on service agreements and recurring charges.
• Maintain paid files.
• Open and sort all mail.
• Answer phones for Accounts Payable.
• Contact with businesses concerning questions about billing.
• Consistent contact with the Purchasing department, as well as most campus offices.
• All other assignments as directed by administration.
• Perform other related duties as assigned and specific to area of responsibility

Skills / Requirements

• Experience with accounting software.
• Good working knowledge of Microsoft Outlook, Microsoft Word, and Microsoft Excel.
• Excellent verbal and written communication skills.
• Exhibit exemplary social skills and ensure considerate interactions with all staff, faculty and students.

Qualifications / Education:

• High School Diploma or GED
• Accounts Payables experience preferred.
• Average verbal and written communication skills.
• Successful completion of background check, MVR, and credit check may be required.

Supervision:

• None
• The Accounts Payable Clerk reports directly to the Accounts Payable Supervisor.

Decision-Making Responsibilities:

• Responsible for prioritizing daily tasks; timing of payments

Exposure to Confidential Information

• Exposed to various confidential bills/reimbursements and information about the Seminary’s financial transactions.

Physical Requirements

• Physically able to sit and/or stand for long periods of time.
• Able to use computer and move about office to interact with other staff members,
• Able to attend meetings on site.
• Able to lift up to 20 pounds to perform tasks that may be assigned in the course of operations.
• Visual acuity to read a computer screen and hand dexterity to use a keyboard.
