Receptionist - Band 2

We have an exciting opportunity within the Ophthalmology Department.

This ia a part-time, fixed-term Receptionist role for 16 hours per week (Thursday and Friday) up to and including the 28/02/2022

We are looking for individuals who have excellent communication, organisational and administrative skills and are able to work to deadlines and strive in a busy professional environment, providing excellent customer service at all times.

You must have excellent interpersonal skills, be able to prioritise work effectively and efficiently. The role involves liaising with members of the team within the Ophthalmology Department and the wider hospital.

As the posts deals with patients, relatives and healthcare professionals on the phone, and face to face, applicants will be expected to have a courteous and efficient telephone manner.

Training will be given on the hospital administration system, Millennium and the Ophthalmology system Medsoft. Administration experience would be preferred.

Duties and Responsibilities

Marketing

  • Provide a welcoming and friendly environment as the primary contact point for visitors and telephone enquirers;
  • Maintaining and promoting a positive image with a strong emphasis on customer service skills;
  • Liaise with visitors and potential residents to the home, ensuring they are welcomed in a professional and friendly manner and all queries responded to accordingly;
  • To update and log any customer enquiries onto the home’s Income Processing software and proactively manage any follow ups as required, such as issuing brochures or any other company literature.
  • Actively market the home and assist with ‘Show-arounds’ and engage positively with both prospective residents and their families.

General Administration

  • Engage with the Recreation and Activities Co-ordinator to ensure a varied programme of events to encourage resident participation and stimulation;
  • To maintain Resident and employee confidentiality and privacy in line with Information Governance;
  • To attend and actively participate in staff meetings and staff training sessions as required;
  • Provide support and assistance to the administrative team in the home as and when required, and act as the focal point to cover their duties when absent;
  • Where appropriate, to update CareBlox with the staff rosters;
  • Take the minutes at the Staff Meetings and other meetings as required
  • To familiarise yourself with, uphold and adhere to the company policies and procedures at all times.

1 Reception Duties

a) Liaise with patients on the telephone and face to face

b) Handling general enquiries, explaining surgery procedures, making new and follow up appointments using various digital systems including Emis (training will be given)

c) Updating clinical records including Covid vaccination administration

d) Print repeat prescriptions in line with the practice repeat prescribing policy.

e) E-learning and external training opportunities

f) Register new patients

g) Sending records back to NHS England

h) Update patient records as necessary, for example, change of address and phone number.

i) Leave reception area tidy and ready for incoming colleagues or ready for the next day. Ensure information regarding unsolved problems or urgent problems are passed over to a colleague.

j) Ensure waiting area is tidy.

k) Scanning and workflow of all hospital letters and general correspondence to appropriate doctors, using Docman software (training given).
