Legal Support Assistant

Our Bristol office is seeking a Legal Support Assistant to join our busy Private Client department, providing professional support for lawyers in the department.

The team is looking for someone with a proactive approach who will maintain a high quality of service while developing strong and trusted working relationships with staff and clients. This role will be reporting in to the Support Supervisor / Bristol Office Manager.

The Role:

  • Assist lawyers with the billing process, drafting narratives and covering letters and putting paperwork in front of the lawyer for sign off.
  • Understand the team's financial hygiene position and liaise with departmental Administrators to ensure all systems and processes are up to date.
  • Ensure regular legal team meetings are arranged, and then actively participate in these meetings.
  • Liaise with support departments to resolve problems on lawyers' behalf, taking ownership of the issue and following up where appropriate.
  • Support other team members by sharing knowledge and ensuring own and others' skills are developed.
  • Organise client events / seminars in conjunction with Marketing, attending to meet and greet clients where appropriate.
  • Collate information for preparation of regular client updates or reports as and when required.
  • Demonstrate a good level of knowledge and effective utilisation of the firm's systems and procedures.
  • Develop a good working knowledge of all department key legal processes to enable maximum flexibility and effectiveness in role.
  • Build and maintain effective relationships with lawyers and clients, and develop knowledge of the department's clients and their business.

Experience and Qualifications Required:

  • Recent substantial experience in legal support (PA, Legal Secretary, LSA, etc).
  • Recent experience in diary management and the ability to multi-task.
  • Fast, accurate typing skills.
  • Competent with Microsoft Office (Word, Excel, Outlook etc.) and data management systems.
  • Recent experience of working to compliance and file maintenance procedures is advantageous.

As a Professional Indemnity Paralegal, you will be responsible for:

Providing a high-quality service to clients in the management of professional indemnity, D&O and Cyber liability cases. Senior Claims Handlers will typically work on cases with a value of up to £250k and/or more complex cases.

  • Manage a varied caseload including developing a knowledge of legal issues in respect of a variety of professions as well as building an understanding of each profession's own rules, procedures and regulatory framework.
  • Manage, with support from the Administrator, the set up of new files by reviewing incoming instructions, completing case set-up form, identify relevant issues and passing to Claims Supervisor to allocate with recommendations
  • Conduct review of new cases, completing case checklist to identify coverage issues. Assess liability and quantum and establish strategy for the case
  • Instruct experts and external counsel where appropriate
  • Draft correspondence to brokers/insured's requesting additional information as required
  • Resolve claims through negotiation of settlement, rebuttal of claim and/or declining of cover. Review panel reports and obtain instructions when appropriate
  • Maintain ongoing contact with the client throughout the process to report on progress and take further instructions
  • Play a key role in developing and maintaining client relationships.
  • Ensure that the client's brand and methodology are promoted effectively in all dealings with third parties
  • Ensure that case management system and hard copy files are updated
  • Assume responsibility for quality control and client protocol compliance on own caseload, including accuracy and timeliness of record keeping, file management and management reporting and information
  • Handle confidential information in line with the firms data security protocols

To become a Professional Indemnity Paralegal you will:

  • Be of graduate calibre with an excellent academic record
  • Have previously worked as a claims paralegal or similar, within the field of professional and financial lines insurance, or in private practice as a paralegal / litigation executive.
  • An interest in the area of insurance claims management is essential
  • Knowledge of case management systems would be an advantage but training will be provided.
  • Client focused with an ability to build strong relationships with clients and third party contacts at all levels
  • Able to prioritise own workload effectively under pressure and manage conflicting priorities
  • Proactive, with a tenacious approach to identifying issues and solving problems

The role

We are looking for Assistant Paralegals who will assist in providing a quality and comprehensive conveyancing service with a customer service focus.

Main responsibilities
  • Acquire basic knowledge of the entire Conveyancing process to include post completion work and be familiar with the roles of support teams such as New Business and Accounts in the process.
  • Attend to any office administration requested such as dealing with post, filing, file closures and distributing faxes.
  • Prepare draft contract packages, all searches, exchange and completion letters.
  • To support Paralegals to progress the administration of transactions proactively with all key stakeholders in the process.
  • Assisting Paralegals in keeping task reports up to date daily.
  • To ensure that the case management system is kept in an orderly manner and up to date.
  • Deal with client queries wherever possible assisting the team with taking and making telephone calls.
  • Competently draft non-standard non-technical correspondence.

Full training will be given by our inhouse conveyancing trainer. A mentor will be assigned to you who will provide further training on the day to day running of conveyancing transactions.

You will be required to attend the office during your probation period for training and supervision purposes.   There may be an opportunity for agile working once successful completion of probation.   

The ideal candidate will have excellent written and oral communication skills gained from previous experience working in a customer service position, preferably in an office environment. You will enjoy working as part of a team and also adaptable to the changing requirements of the range of clients dealt with.

You will be passionate about helping people and like to be thoroughly organised to prioritise work independently. A legal qualification (LLB, CILEX, CLC, etc.) is not an essential requirement, but you must be able to demonstrate a keen interest in conveyancing and property law.

Skills and qualifications

Essential knowledge & skills:

  • IT literate including sound knowledge of Word, Excel and the internet.

ROLE:

The Legal & Compliance Analyst will be part of a growing legal and operations function key to helping scale up Launchmetrics’ global operations. You’ll undertake a varied workload reporting to the Legal Counsel but primarily will help with data privacy issues and provide stewardship on compliance, regulatory and risk matters for the organisation including facilitating commercial contracts. ABOUT YOU

  • Master's degree or LLM in business law/data protection, with minimum 6 months experience within a compliance, legal, audit and/or risk function for a SaaS company or in a law firm.
  • Understanding of complex global data privacy laws and principles, including the GDPR, ePrivacy, UK and EU member state privacy laws and guidelines, the CCPA etc.
  • Ability to undertake large, long-term projects, develop alternative methods to complete them, and implement solutions.
  • Detail-oriented approach needed to recommend and implement strategic improvements on a range of data privacy and data protection issues.
  • Ability to handle confidential and sensitive information with the appropriate discretion.
