Clerical Officer

Applications are invited for the post of Clerical Officer based within the Ophthalmology department of Portsmouth Hospitals Trust.

The post holder will provide administration and clerical support to the Ophthalmology department and will be based at Queen Alexandra Hospital with flexibility to work at other PHT sites when necessary.

The successful candidate will have a good standard of education, good communication skills, be able to work on their own initiative and able to effectively organise their own workload. Medical terminology experience would be advantageous as well as customer service experience.

Good communication skills are essential both in person and via the telephone. A professional and sensitive manner is required to be maintained at all times. The post holder will be required to liaise with patients on a daily basis requiring courtesy, discretion and confidentiality at all times.

  • Notes need to be scanned and saved into a secure folder which can then be accessed by or sent to the Safety Team.
  • Notes will also need to be located if they have been misplaced or not tracked correctly on PAS.
  • This staff member can also assist in requesting medical records and sending/tracking them back to Medical Records once they are no longer needed.

This member of staff needs to have a good understanding of IT including how to scan documents onto the computer and save them onto the system. Access to and training on PAS would be ideal as this would allow them to find and track medical records.

This is a part time role, 2 - 3 days. The hours are flexible, however ideally9 / 9:30 – 3 / 3:30 would be preferable.

Required Skills & Experience:

  • Education to GCSE Level
  • Previous experience of providing clerical support in a busy and challenging environment.
  • Experience of working in a healthcare environment.
  • The ability to work using own initiative and without supervision.

The Child Health Care Group is looking for an experienced, enthusiastic and reliable individual to join our Specialty Admin Team in the role of Patient Pathway Coordinator. This role is based in the Child Health department at University Hospital Southampton NHS Foundation Trust (UHS).

Our Child Health Patient Pathway Coordinators operate Monday-Friday covering core office hours of between 8am-5pm. They provide administrative and secretarial support for clinicians from a wide range of specialities to facilitate a smooth patient journey. Patients who attend our services come from across the region and Channel Islands.

Main duties of the job

You should have experience of working as a medical or patient services secretary linked to a clinical service, or in a customer focused environment, and have basic knowledge of medical terminology. We are looking for individuals with excellent communication skills as well as the ability to work well under pressure and prioritise a demanding workload. You will work well as part of a team and have a desire to provide a first class service for patients and clinical teams.

Job responsibilities

  • Implement all administrative processes along the patient pathway to ensure the patients journey is managed efficiently, smoothly and in accordance with targets and agreed timescales.

  • Utilise computerised tracking systems to locate case notes and investigation results.

  • Liaise with Private Patient Co-ordinators where appropriate to ensure a seamless patient journey.

  • Ensure patient information is maintained and updated on the appropriate patient information system.

  • Monitor work lists for Choose and Book to monitor Consultant workflow and escalate to Team Leaders if necessary.

  • Ensure referral grading outcomes are logged on the appropriate patient information system.

  • Setting up clinics in liaison with consultants.

  • Managing clinic capacity in liaison with consultants.

  • Requesting and tracking medical records.

  • Capture and distribute clinic outcomes

  • Ensure follow up appointments and diagnostics are booked.

  • Other specialty specific duties commensurate with the grade of this post, as agreed within individual specialties

Person Specification

Previous or relevant experience

Essential

  • Experience working in an administrative capacity in a customer focused environment

Desirable

  • Experience as a medical or patient services secretary linked to a clinical service
  • Proficient in the use of all hospital computerised patient systems
