The EKHUFT Childrens Diabetes Team is looking for an experienced, enthusiastic and reliable individual to join the team as soon as possible in the role of Childrens Diabetes Team Admin/Coordinator. The post holder will be required to work core working hours 9am-5pm, Monday-Friday and will be based within the Paula Carr Diabetes Centre at William Harvey Hospital Ashford; on occasions you may be required to work from an alternative site within the trust.
You will be responsible for providing administrative support to the clinicians within the service including the smooth coordination of meetings and specialist clinics as well as education and training programmes delivered by the specialist nurses, dietitians and psychologist. Alongside this you will manage consumable orders for patients and support the patient journey by ensuring that co-ordinated and streamlined administrative processes revolve around them and their individual needs.
The post holder will have prior experience of working within a healthcare setting, linked to a clinical service, or in a customer focused environment, and have some knowledge of medical terminology and database skills or experience; training will be provided to the right candidate.
We are looking for individuals with excellent communication skills as well as the ability to work well under pressure and prioritise a demanding workload.

On 11th March 2019, three well established practices merged to become Ashford Medical Partnership. Willesborough Health Centre, Singleton Health Centre and St Stephens Health Centre serve a practice population of over 32,000 patients.

The University Medical Centre Psychological Therapies Service (UMCPT) is a well-established Improving Access to Psychological Therapies (IAPT) service. UMCPT is based in the University Medical Centre in Canterbury, on the Kent University Campus, and as such we have a unique and diverse demographic with a largely student population in the local area. In addition to this we also have multiple locations across Canterbury and surrounding coastal areas and provide a service to the wider general public across the whole of East Kent in community and GP surgery settings.
The UMC GP Surgery developed the IAPT service in 2012, in response to the increasing demand for Psychological Therapies in the local area. The team has grown and to date we are able to offer both low and high intensity interventions with a team of Psychological Wellbeing Practitioners, High Intensity CBT Therapists, Counsellors and EMDR Therapists.

JOB PURPOSE:

Ensure accurate validation of service activity for invoicing
To liaise with Assistant Operations Lead to ensure smooth running of the Operational aspect of the service in the absence of the Strategic & Operations Manager

Ensure an appropriate system is in place to respond to internal/external telephone calls and screen these where appropriate and ensure that messages are taken, recorded and passed on in a timely and accurate manner.
Ensure that appropriate diary management is in place for the service and clinical team, using both the service software (IAPTus) and clinical software to book appointments for patients.
To ensure an appropriate system is in place for processing GP referrals, Self-referrals and Online referrals.
To ensure that the IAPT administration email is regularly monitored and emails from patients are passed on to the relevant clinician or responded to appropriately and in a timely manner
To ensure communication links are timely across the service in all localities and that communications are delivered to all required members of staff.
To report to regular IAPT team meetings
To contribute to the Annual Service Report
To escalate risk to the Clinical Team Lead where necessary
Ensure a system is in place to open, sort and distribute mail for the service.
Ensure batch letters are printed and posted at least once a day
Maintenance of records and filing as appropriate ensuring information can be accessed efficiently.
Assist in increasing and maintaining information governance standards to include data quality.
Any other reasonable duties as may be required from time to time.
A positive contribution is made to the formulation of relevant practice philosophy, strategy and policy.

This will include delivering qualifications and encouraging our female residents to engage with the centre.
HMP/YOI Bronzefield is a closed local prison serving courts across the South of England. We house up to 572 women (approximately 14.5% of the national female prison population). The women in our custody have a diverse and complex set of needs and range from mothers and babies, young offenders, life and long term sentenced women, short to mid-term sentenced women, foreign nationals and women on remand.

Band 3 Childrens Diabetes Team Admin/Coordinator

Would you like to work for one of the UKs largest Trusts, situated in the heart of the Garden of England, just a stones throw from London and with easy, fast access to France and beyond?
The EKHUFT Childrens Diabetes Team is looking for an experienced, enthusiastic and reliable individual to join the team as soon as possible in the role of Childrens Diabetes Team Admin/Coordinator. The post holder will be required to work core working hours 9am-5pm, Monday-Friday and will be based within the Paula Carr Diabetes Centre at William Harvey Hospital Ashford; on occasions you may be required to work from an alternative site within the trust.
You will be responsible for providing administrative support to the clinicians within the service including the smooth coordination of meetings and specialist clinics as well as education and training programmes delivered by the specialist nurses, dietitians and psychologist. Alongside this you will manage consumable orders for patients and support the patient journey by ensuring that co-ordinated and streamlined administrative processes revolve around them and their individual needs.
The post holder will have prior experience of working within a healthcare setting, linked to a clinical service, or in a customer focused environment, and have some knowledge of medical terminology and database skills or experience; training will be provided to the right candidate.
We are looking for individuals with excellent communication skills as well as the ability to work well under pressure and prioritise a demanding workload.
Supervision and training will be provided to ensure a comprehensive induction plan is offered and you will be supported by a dedicated team of highly skilled specialist clinicians to ensure you are supported to develop and reach your full potential as a highly skilled and experienced member of the team.

You will work closely within the well-established, innovative, multi-disciplinary childrens diabetes team to provide a first class service for our children, young people and their families.
