How to write a stand-out customer service cover letter

A good cover letter will show hiring managers that you understand exactly what they need from their customer-facing teams and boosts your chances of being invited in to interview for a customer service job.

Think about it from the hiring manager’s perspective. They’ll be scanning a whole stack CVs and cover letters for evidence of communication skills, the ability to empathise and proof that applicants can resolve problems under pressure – all essential requirements for any job in the sector. Therefore, your cover letter needs to show that you have these qualities in abundance.

Here are our top tips for writing a cover letter that proves you have what it takes to solve customer issues fast and efficiently.

Think about the qualities that make you a great customer service assistant

Working in customer service is about strong communication, being able to resolve problems under pressure (and sometimes dealing with upset individuals), as well as being friendly and organised. Whether you’ve worked directly in customer service roles before or have relevant experience from a different industry, it’s always a good idea to start thinking about what skills and qualities you have that would support your application.

Think about what motivates you too – perhaps it’s the satisfaction gained from solving someone’s issues, or that you enjoy the camaraderie of working in a call centre – whatever it is, taking the time to think about what drew you to the sector in the first place is a good idea. List the reasons out and that will form the skeleton of your cover letter.

 

Think about what attracts you to this company in particular

One of the best ways of avoiding writing a generic cover letter is to explain why you want to work for that company in particular. Do a little research into who they are and what they do – visit their website’s ‘about us’ page and look at any awards they’ve won. This will tell you more about who they are and what they’re like.

Say the role is for a utilities company that offers reduced prices for the disabled – mention in the cover letter that you’d love to work for a business with such a strong sense of corporate social responsibility. Or perhaps it’s for a fast-growing start-up with a food delivery app – cite your interest in and understanding of the latest tech and the start-up’s trajectory.

Work out why you want to work there, and the rest will follow.

 

Draw on your customer service experiences

Take some time to study the job ad thoroughly and look again and take stock of the required skills and experiences. Sometimes these will be listed out in bullets, other times it will be buried in a paragraph of text. In either case, work out what the hiring manager wants to see in their next employee, then think of relevant examples to show how you match up to their needs. 

If this is your first customer service job, the trick is to think about your transferable skills. Perhaps you’ve previously had a Saturday job in retail – there are plenty of parallels between that job and the one you’re applying for, from dealing with stressed customers to a logical approach to problem solving.

For more experienced customer service staff it’s about stressing the most important accomplishments relevant to the role. Say you’re aiming to move up in your career to a management position. It’ll be important to find at least some examples of how you’ve managed others – perhaps you stepped into a supervisor role when the shift manager called in sick and really enjoyed it.

 

Training and qualifications

Your cover letter is a good place to highlight any relevant training or qualifications you’ve received. Perhaps you’ve received a certificate from a course at the Institute of Customer Service – this kind of qualification will really mark you out. Or perhaps you speak a second language, making you invaluable today’s international business environment – definitely a skill to highlight.

 

Show your personality and ambitions

The most successful customer service employees are highly organised and have a friendly, ‘human’ attitude, so make sure this comes through in your cover letter. Discuss how you build great relationships with colleagues and customers. The hiring manager won’t know this unless you state it, so don’t be shy! Also, highlight any awards you’ve won - perhaps you were recognised for getting the best feedback from customers – that should certainly be included in your cover letter.

It’s also sensible to mention your personal ambitions too, where relevant. If you’re applying for a role at a fast-growing company, definitely mention your desire to be involved in helping the company grow and developing your role to take on more responsibilities. Ambitious companies want ambitious staff.
